WHITBY FREE PRESS, WEDNESDAY, JULY 22, 1987, PAGE 23 When the Whitby General Hospital hired Lyn Chow as support services manager in November 1986, her position was created to meet the growing needs of a hospital in a rapidly developing coimunity. There was a recognized need to organize a co-ordinated effort in running the central stores, central service, housekeeping and main- tenance and security departments, she says. The supervisors of each of these departments report to Chow on a weekly basis as she works to define needs and plan and organize existing resources to meet those needs. The most pressing need is to cope with the town's growing population, which Pow stands at 46,000. For example, 60 people go thrôugh the emergency department on a daily basis, a' considerable in- crease within the last couple of years, and the hospital is working at near capacity. One of Chow's jobs is to reorganize the central services and stores. "My main concern is that we are carrying too much stock," she said. "We are overstocking in the hospital andwe want to centralize a number of mini store rooms." With one central store room,.she says, the hospital will be able to keep track of usage and stocks, have more control of the quantity of items used, and determine patterns of use. Economy and efficiency are the watchwords for this project which began in February and will be completed in the summer of .1987. Stock from the operating room and from central service is being moved into stores. Chow says this consolodation will make it easier for the hospital to purchase less of items that are not frequently used, and excess or obsolete material can be sent back to suppliers. "We want to co-ordinate storeroom stocking with buying," LYN CHOW says Chow. "This formerly was two departments." Centralization of stores will in- Supervising support services volve computerization and- the publishing of a catalogue for all staff of what items come through the stores. Like a Sears catalogue without pictures, this is a first at the Whitby General Hospital and was completed in June. Another of Chow's projects is im- plementing a preventative main- tenance program which began in November 1986. Under this program, certain maintenance tasks will be spread out over the year, so there will be maintenance work going on continuously. Chow is using an existing program used by other facilities, for the first time at the Whitby General. When the maintenance crew completes a job, it is systematically documented. There will now be ongoing maintenance and upgrading of the programs as the need arises, says Chow. "The staff have been very sup- portive and have been really working very hard to get these new systems in place." One department Chow will not be changing is housekeeping, for it was reorganized befo-e she arrived. "We have a very efficient staff of housekeepers at Whitby General, one of the best," she says. With her desktop computer anci materials management programs, Chow hopes to provide the support required by both the medical and nursing departments. One example of her new programs is the cart system which delivers supplies to the hospital's nursing departments. Supplies will be delivered once or twice a week instead of daily, which reduces a considerable amount of mundane activity by the staff without affecting the supplies delivered to thé hospital's users. "The staff can now do other things than count stocks on a daily basis, and can rechannel their resources to other areas," says Chow. "We are always re-evaluating the programs - every day. If something doesn't work, let's find a better way."
