MAINTENANCE LTD. 500 HOPKINS ST., WHITBY 666-1224 -When budding entrepreneurs are thinking about goiitg on their own, their biggest concerns are probably flnancing, employees anid trying te, predict the demand for their product or service. Chances are, 'Ikeeçnig the bookd' is the last thing t ey're thinking about. But small business people can eaiysave themselves lots of griefdn the road if they inveet a few hours at the outset deterniining what records should be kept and learning how te, keep them. Keping stmple, but accurate, finanial rrd is more than just another headache. They *rvde a constant monitor of how the business is doing, they make tax time less painful and when interpreted properly, can tell the owner how -te, manage the business more profltably. Small business consultants urge the owner-operater te get help with the books if he or she doesn't have the time, desire or ability to, keep decent records. The task can be delIegated te a suitable employee or another qua]ifled person. A qlanoe in the yellow pages under bookkeeping services" or "accountants" will also provide a long list of r oessionals. In a- small town, a ocal- banker can also refer the owner to an appropriate accountant or bookkeeper. Good records fr-om a recognized local accountant will also make it easier te deal with the bank if flnancing becomes necessary. The type of records that have te be kept will, obviously, vary from.,business te business. But the basics are constant. There are four general categories -of records: daily, entrjes, recurring entriesý, month end entries and year end entries. As the name suggests, the dal records keep track of the cas coming in and going, out on a daily basis, includinig purchases and sales made on credit. Recurring entries are things like payrol payments on flxed assets, bak payments, insurance premims sales tax remittances te the province and the owner's investments in and withdrawals from the business. Monthly records include a summary of income and expenses, a liat of bad debts and- the amount of mnventery on hand. At the end of the year, an income statement and balance sheet should be prepared, the total employee earnings must be added up and the T4s compiled. And when the company's books are finished, the business person will be ready to, file for personal income tax. To take fuil advantage of this information at the end of the year, it is often useful te set aside more time te, study the data and prepare a buiness plan for the upcoming year.
