letter emphasize that affiliation with the Recreation department Is strictly a matter of choice Groups wishing to affiliate must abide by certain conditions set out In a policy statement set out by the Recreation Committee CONDITIONS The conditions covering affiliated groups are 1 That the Constitution By laws and or rules and regulations of the group or any changes thereafter be approved by The Recreation Parks Community Centres Com 2 That an audited financial statement will be filed The Recreation Department at the conclusion of Ihe group s operating year That a list of the names of officers Including addresses and telephone numbers be filed wilh The Recreation Depart and further that the Department be notified If any changes occur That a list of names of members or participant in eluding addresses be filed The Recreation Department once per year That The Recreation Committee assign a member or staff of their choice as a non voting member of the Executive of the Group That notification of all Executive and General Meetings be filed with The Recreation Department prior to a meeting and that a copy of the minutes be fifed with The Recreation Department after all meetings where minutes are kept That any request for direct financial assistance be made to The Recreation Department prior to October 3lst of the proceeding year the monies are required for a That in the event that the group ceases to exist all assets will be held In trust for a period years or until such lime which time the assets will be turned over to the new op proved group for any group as set
