In a recommendation made by a recent ac­ creditation review of MCC, ttip Illinois Community College board suggested that MCC take advantage of a new microfilm records retention program being offered by the Illinois Secretary of State's Office. "Internally, we have a problem," said MCC President Robot Bartiett adding, "in that we have a need to keep some records forever and ever. "We were not aware, prior to the recommendation, that we could take advantage of the Secretary of State's protection regarding records refaction," he added. "The ICCB told us how representatives of the Secretary of State's office can assist us in eliminating records that no longer need to be kept as well as keep those records that are legally required to be kept." Bartiett, forsees the project's eventual com­ pletion as allowing MCC to better use its personnel, in addition to saving money. v The first phase of the plan requires that every MCC official list every record kept by type, whether the records are student transcripts, MCC's acquisition of land, the purchasing of supplies and equipment or student refunds by a tentative deadline of Nov. 1. "Once the records are listed, our staff will go through and find duplicated records, with some duplicates being destroyed by a deadline date of Jan. 1," Bartiett said. "A record will be kept by the office originating it and no one else will keep a record of it which will save us money, staff time and filing space." * Then.the college will fill out a title of record in­ ventory work she^t by volume as required by the Secretary of State's office, according to Bartiett. The list will include the record's title, die office it originated from and how long that record has been kept. Shortly afterwards, in February or March of 1962, a Secretary of State's office representative would come to MCC to begin the next phase of the program. "Then we will sit down with the representative and agree how long that record will be kept and in what form," Bartiett said. "At the same time we will be in­ formed by the represen­ tative on how that record should be destroyed. "Following this process we will be applying for approval of our schedule, which should occur right after the new fiscal year begins around July l," he added. "This process will keep us on a regular schedule." The remarkable part of this project is that it covers the 13 years in which MCC has been in operation and requires no additional staff to implement. "Ultimately when the project's completed, we will be able to put a dollar figure savings on it, but right now we just know that it will save us money. "We will only be keeping records by the office originating them in very specific categories," he added. "We have a sem­ blance of it now, but it's somewhat incomplete and the Secretary of State's office will also provide us with a legal backup. "It's a relatively new phenomena, . no other community colleges that we know of are really into this program. We were very fortunate that we were made aware of it and although it started simply as a suggestion, it was a good one in terms of business ef­ ficiency.
