The new initiatives presented at the board's June 5 meeting were: • $110,000 to move to electron- ic files and documents, covering licenses, scanners and tempo- rary staff; • $85,000 to implement a new library system; • $45,000 to buy instruments; • $42,000 for more "commis- sionaires," essentially hallway supervisors; and • $200,000 for a review of the board's non-union jobs, looking at job descriptions, gender equi- ty and salaries compared with other boards and employers. The new line items, totalling $482,000, haven't yet been figured into the budget. They are in addi- tion to nearly $5 million in pro- posed program enhancements that were discussed at previous board meetings. The board staff's budget pro- posal is projecting a surplus. Board treasurer Roxana Negoi said trustees will either have to de- cide on their priorities or choose to contribute less money to the oper- ating reserve -- money typically used to cover unexpected expens- es. According to financial state- ments presented at the meeting, the board will end this school year with an operating surplus of $617,000 and an operating reserve fund of more than $4 million.fund of more than $4 million.f Several trustees expressed in- terest in growing the reserve, which means either increasing revenue or making cuts to pro- posed spending. Burlington trustee Arlene Iantomasi (Wards 1 and 2) noted the board had already deferred the review at least once. Oakville trustee Anthony Quinn had questions about ongo- ing costs, such as server space, of moving to electronic filing. Negoi responded that cloud storage is relatively inexpensive compared to the costs of printing everything on paper, and moving to electronic documents will save money over time. "It will save us costs not only on printing but staffing that we can use more effectively," she said. "We do have a lot of paper and it's about time we move away." O'Hara added that the board's basement is full of documents and it is running out of space. "This board, this building, is bursting at the seams," he said. "There is no place to put files. We need to move with the times." The move to electronic docu- ments already has some support among the board's parents. A sur- vey on ways the board can save money was answered by 186 par- ents, with its results presented at the June 5 meeting. It identified "reducing printing costs" as one recurrent theme among the re- sponses. "Please reduce the number of flyers you send home in my child's agenda," wrote one par- ent. "Besides the cost of printing and paying for the paper, some- times glossy, the damage to the environment must also be taken into account.
