Dear Gerta,

Thank you so much for your request to cater the dinner for the Bicentary 2000 dinner at the Courthouse.

Niagara-on-the-Lake Vintage Inns would be delighted and honored to cater this extraordinary event. To that end, I have enclosed our existing banquet menus for your perusal.

Due to the high profile of this event and the dignitaries who are invited, I feel it would be prudent to discuss the possibility of partnering with you on the event in order to increase the economic viability of the event (within the $30 price range) and still impart the highest level of food quality and hospitality, to which Niagara-on-the-Lake has become known.

If it is possible for a representative of your committee to meet with myself, I would like to explore the possible partnership between the Niagara-on-the-Lake Public Library and Niagara-on-the-Lake Vintage Inns Friday, November 12th or Monday November 15th would be good dates if there is a time convenient for you to discuss this matter further.

Further to our conversation, I am pleased to confirm the following arrangements for The Group's event.

The hotel reserves the right to provide alernate function rooms suitable for The Group's requirements.

Niagara-on-the-Lake Vintage Inns is pleased to provide the Niagara-on-the-Lake Public Library with a menu at a cost to the library of $30 inclusive of taxes and gratuities. The Niagara-on-the-Lake Public Library agrees to provide Niagara-on-the-Lake Vintage Inns with a charitable tax receipt for the donation of the expenses occurred over and above the $30 per person inclusive price.

The guaranteed number of guests attending the meal functions is required a minimum of 72 hours in advance of the function. Should no guarantee be received, the hotel will prepare and charge for the original number quoted. The Group will be billed for the guaranteed number given, or attendance, whichever is greater.

Function Supplies:

Please advise us in advance of materials being sent to the hotel prior to The Group's arrival date as storage space is limited. All items must be clearly labeled stating The Group's name, date and hotel catering coordinator servicing the function, as well as approximate size and weight. Freight, delivery and brokerage fees will be the responsibility of The Group

Outside Services:

Any outside services billed to The Group's master account, i.e. meals catered at other venues, gold, transportation, winery tours, Jet Boat, etc, will be subject to a 15% administration fee on the total bill. Any offsite functions that are catered by Vintage Inns for The Group will be subject to a $10.00 per person catering fee. A minimum off site catering fee of $500.00 will be levied on groups under 50 people. THE OFFSITE CATERING FEE WILL BE DONATED TO THE Niagara-on-the-Lake Public Library FOR THIS EVENT.

Additional Policy:

Due to fire regulations and hotel policy, absolutely no open flames (candles, centrepieces, etc.) are allowed on premises. Please advise your catering coordinator of any centrepieces you may wish to use.

Socan - A fee of $7.55 (event with dance) or $28.75 (event without dance) will be paid to the Society of Composes, Authors and Music Publishers of Canada (SOCAN) for your right to use music which is copyrighted. These charges are subject to applicable taxes and administration fee. As a courtesy to all our guests, it is the hotel's policy that music must be turned down at 11:00 PM and turned off at 1:00AM.

The hotel reserves the right to terminate bar service in the interest of everyone's safety and in accordance with our Smart Serve standards.

Liability:

The Pillar and Post Inn, Spa and Conference Centre cannot be held responsible for personal injury, loss of or damage to property of members or organizations arising our of use by them or third party services that are not supplied by the Inn (i.e., security, etc.)

The Pillar and Post Inn, Spa and Conference Centre also cannot be responsible for the safekeeping of any gifts, equipment, displays, supplies, written materials, or other valuable items left in the meeting rooms, banquet areas, guestrooms, etc. The Group is responsible for providing security to insure against any loss or damage to The Group's materials.

Deposit:

A signed contract and initial deposit of $500.00 is due back by January 12, 2000.
Cheques should be payable to the Pillar and Post Inn.

Cancellation Policy:

Cancellation of this entire booking 14 days prior to The Group's arrival will result in penalties equivalent to the deposit provided.

Billing:

Please note that all food and beverage prices are subject to applicable tax and service charges. Prices are subject to change without notice, however, we will guarantee confirmed prices for 45 days after a price charge.

Payment of The Group's account is due upon departure.

If the above information meets with your approval, and in order to make this booking definite kindly sign below and return it to my attention via fax by January 12, 2000 failing which this contract becomes null and void.
